Office Associate
Primary Purpose of Position
The Office Associate for our Santa Monica Location is responsible for the successful logistical operation of the campus facilities, ministry events, and administrative operations. They will succeed in this role by capably overseeing + scheduling the facilities assistants, managing the campus calendar, and serving as front office receptionist.
The administrative operations include facility management, event preparation, ordering & supply management, room reservations and vendor management.
This role is a Sunday - Thursday position.
Key Responsibilities
Oversee the ongoing maintenance, management, and setup of the Santa Monica campus facilities, through the effective management + scheduling of the facilities team and security staff
Serve as a face of the church, managing the front door during office hours and responding to all general inquiries that come into the church via phone, mail and email
Manage the master event and facility calendar for the Santa Monica location
Effectively and efficiently execute ordering of central supplies and oversee ongoing maintenance of central staff rooms on campus
Manage incoming mail and deliveries and manage outgoing mail
Serve as part of the Sunday experience and hospitality team as directed by the Operations Director of Santa Monica campus
Qualifications / Experience
With a staff of nearly 30 employees, this position requires a friendly and Christlike presence, mature leadership and people skills, and excellent verbal and written communication skills. The office associate will display flexibility to meet the evolving needs of the ministry and ensure each job/project is executed to the highest standard. You need to have a can-do attitude and the ability to prioritize and multitask.
You should have:

Must uphold and embody the values of Vintage Church
2+ years experience in an office environment High maturity including discretion and maintaining confidentiality when necessary
Excellent administrative skills such as scheduling, organizing, coordination, and basic financial administration
Ability to coordinate multiple tasks at once, pay attention to details, adjust to changing priorities and meet deadlines within a fast-paced environment
Proven experience in running / managing / preparing for events for up to 1000 people
Strong analytical and problem-solving skills
Attention to detail while seeing all projects through to completion
Professional decorum, ability to communicate well, both verbally and in written form
Proficient level computer skills (Mac, Google Workspace)
Understanding of or ability to quickly learn Planning Center Online, Asana, Pex, Slack apps
A team player mentality with a strong work ethic and a strong to help where needed

Additional Requirements
The work schedule may include weekend and evening hours. In addition to the responsibilities listed above, all staff are required to work certain church functions such as Alpha Launch Nights, the FOCUS Retreat, Christmas Eve, and the Easter weekend including Good Friday, Easter Sunday and the Saturday in between. These special events may include additional hours for setup and teardown. Additional details are outlined in the Employee Handbook.
