Evaluation Period: 6 months
Pay Range: $28-30 per hour
Primary Purpose of the Position
The VKids Coordinator partners with the VKids Coordinator – Lead to support all VKids (babies through 5th grade) ministry needs for Sunday services at Vintage Church – South Bay. This role focuses primarily on volunteer development, training, and care—ensuring that children experience excellent, Christ-centered ministry led by a thriving, well-supported volunteer team.
While sharing responsibility for the execution and operational consistency of VKids programming, the VKids Coordinator's primary emphasis is on volunteer recruitment, equipping, scheduling, and pastoral care. The role serves as the primary point of contact for VKids volunteers, creating pathways for new volunteers to join, equipping them for effective ministry, and fostering a culture of growth, joy, and spiritual formation among the team.
The VKids Coordinator receives mentorship from the Director of Young Families and works collaboratively with the VKids Coordinator – Lead to ensure seamless Sunday ministry experiences.
Key Responsibilities
Volunteer Development & Training
Recruit, onboard, and train VKids volunteers across all age groups (nursery, preschool, elementary).
Develop and facilitate ongoing training opportunities: orientations, monthly huddles, skill-building workshops, and spiritual formation gatherings.
Create volunteer resources: handbooks, teaching guides, classroom management tips, and age-appropriate ministry best practices.
Assess volunteer gifts and match individuals to appropriate serving roles (teachers, small group leaders, worship leaders, check-in hosts, etc.).
Cast vision regularly for the importance and impact of VKids ministry. Volunteer Care & Culture
Pastor and shepherd the VKids volunteer team through regular check-ins, encouragement, and prayer.
Build a culture of excellence, joy, and teamwork among volunteers.
Build relationships with volunteers and parents, fostering connection and community.
Recognize and celebrate volunteers through appreciation events, personal notes, and public acknowledgment.
Address volunteer concerns, conflicts, or burnout with care and wisdom.
Provide ongoing feedback and coaching to help volunteers grow in their ministry roles.
Volunteer Scheduling & CoordinationAssist with volunteer recruitment, onboarding, and scheduling in partnership with VKids Coordinator – Lead.
Create and maintain volunteer schedules for Sunday morning VKids programs. ● Communicate schedules clearly and in advance using Planning Center Online or similar tools.
Ensure adequate volunteer coverage for all rooms and roles each week.
Develop a substitute system and maintain a ready pool of backup volunteers.
Coordinate background checks and safeguarding compliance for all volunteers.
Sunday Ministry Execution & Support
Support Sunday VKids programming and environments in partnership with VKids Coordinator – Lead.
Assist with setup and teardown of VKids spaces.
Support curriculum execution using Vintage Central resources.
Equip volunteers to teach effectively by providing lesson prep materials, teaching tips, and discussion guides.
Support volunteers in leading small groups, worship, and hands-on activities.
Ensure classrooms are set up for success: supplies stocked, materials prepared, spaces welcoming.
Safeguarding & OperationsHelp ensure safeguarding standards are followed at all times.
Ensure ministry safeguarding protocols are understood and practiced by all volunteers.
Maintain operational consistency across VKids environments.
Other Responsibilities
Support seasonal and all-church events (Easter, Christmas, Focus Retreat, etc.).
Attend weekly staff meetings and participate in team rhythms.
Undertake tasks or responsibilities assigned from time to time that support the mission of Vintage.
Necessary Skills & Experience
Previous experience (staff or volunteer) in children's ministry, with demonstrated success in volunteer leadership.
Proven ability to recruit, train, and care for teams.
Strong interpersonal and communication skills, including the ability to give constructive feedback.
Administrative proficiency: scheduling, coordination, and follow-through.
Clear written and verbal communication, including well-crafted emails and training materials.
Proficiency in Apple OS, Google Workspace, and ability to learn tools such as Planning Center Online and Asana.
Strong social and emotional intelligence; ability to navigate interpersonal dynamics with grace.
Ability to handle confidential information appropriately and maturely.
Completion of or willingness to complete safeguarding training (e.g., Ministry Safe or equivalent).

Preferred Qualifications
Graduation from a ministry training school or equivalent theological/spiritual formation program.
Experience creating training curriculum or volunteer development resources.
Familiarity with child development principles and age-appropriate ministry practices.
Additional Requirements
The work schedule may include other weekend and evening hours. In addition to the responsibilities listed above, additional tasks as assigned to serve the larger vision of the church. All staff are required to work certain church functions such as Alpha Launch Nights and the FOCUS Retreat, Good Friday, Easter Saturday & Sunday, and Christmas Eve. These special events may include additional hours for setup and teardown. Additional details are outlined in the Employee Handbook.
